Create Excel Charts or Graphs [Complete Guide] Step by Step

Excel Charts: How to Create Graph

Step 1 – Create data using the above excel. This excels ‘graphs’ contains the data regarding the annual revenues for few companies. Please note that this data is not the actual revenues for these companies but are just figures taken to demonstrate creating meaningful and advanced excel charts.

Step 2 – Select the data from cell B2 to E11.

Step 3 – Click on ‘Insert’ tab from the top

Step 4– Click on 2D column charts next to ‘Recommended Charts’.

Step 5 – The screen will expand to give you specific 2D bar graphs (a.k.a column charts in excel). Choose the first one. This one is referred to as ‘Clustered Column’ in the recent version of excel.

Step 6 – Post clicking on the first column chart option, Excel will create the bar graph i.e. column chart for you in the same worksheet.

Step 7 – Click on the chart area.

Step 8 – Click in between the text ‘Chart Title’.

You can do Ctrl+A to select existing text and replace it with the meaningful title. For this exercise, change it to ‘Revenues last three years’. Click anywhere outside ‘Chart Title’ area.

Step 9 – Now that you are able to create a column chart, let’s see how to make a line graph in excel quickly to see the trend of the revenue of each company is growing or decreasing over a period of three years.

Delete the existing column chart. Select the data (B2:E11) again. Click on ‘Insert’ tab. Below the column chart, you will see an icon depicting line graphs. Click on same. The section will expand to give you an option to choose the right line graph for your data.

Step 10 – Choose the first option in the line graphs. This option is called ‘Line’ graph.

Clicking on this will result in a generation of a line graph.

Step 11 – Right-click on chart area. You will see a pop-up with options.

Step 12 – Click ‘Selected Data’. Look at the new pop-up that will be displayed.

Step 13 – Click on ‘Switch Row/Column’ highlighted in the screenshot below.

You will see that legends entries have changed to stock’s name.

Step 14– Click on ‘OK’. Your excel line chart describing the revenue trend will be on screen. You can see as per the chart while revenues of most of the companies have remained stable, revenue of one company decreased in these three years.

Types of charts in excel

Column Charts: This is one of the most commonly used charts that can be used to compare data and if you have different categories.

Bar Charts: This is similar to the column chart with only difference is in alignment i.e, the alignment of the graph is horizontal, not vertical. If you are working with negative values then go for column chart.

Pie Chart: You can compare the percentages of complete values present in the data. Every value in the pie chart represents as pie.

Line Charts: This type of charts can be used to show trends in accordance with the time. With the help of this chart, you can see how the values are increasing or decreasing with time.

Scatter Charts: This graph is used when you want to show how one factor affects the other factor. There are various types of charts available including scattering charts, 3-D bubble, scatter with the straight line, and other types of charts.
